
Financial Procedures Manual Support
Our partner is a small UK-based medical charity and professional membership organisation working to improve patient outcomes and support clinicians. With a small staff team, a volunteer Treasurer and external finance support, the organisation is seeking practical help to strengthen and document its financial procedures.
They are looking for an experienced charity finance professional to provide short, focused remote support to help shape a clear and proportionate Financial Procedures Manual. The aim is to bring existing processes, policies and ways of working into one place, identify any gaps or areas of risk, and support the team to develop guidance that is practical and accessible for staff, trustees and external advisors.
This is a capped 15 hour assignment, so the volunteer will act as a guide, reviewer and facilitator rather than taking on a full manual drafting project from scratch.
Key areas of support include:
- Reviewing existing financial processes, controls and documentation, including any current policies, approval processes and informal ways of working.
- Helping the organisation structure a practical Financial Procedures Manual, with priority sections likely to include income processing, expenditure authorisation, budgeting and forecasting, financial controls, reporting, reserves and audit preparation.
- Supporting the team to clarify roles and responsibilities across staff, trustees and external finance support.
- Identifying any key gaps, risks or areas where controls and consistency could be strengthened.
- Providing practical suggestions, templates or examples where helpful, while keeping recommendations proportionate to a small charity context.
- Supporting the team to refine the manual through feedback and discussion, within the agreed 15 hour scope.
Profile:
- Experienced charity finance professional with a strong understanding of financial management, internal controls and governance.
- Experience developing, reviewing or improving finance procedures manuals, internal control frameworks or finance policies.
- Good understanding of UK charity finance, reporting expectations and trustee oversight.
- Able to translate technical finance requirements into clear, practical guidance for non-finance staff.
- Comfortable working with senior stakeholders, including a CEO, Treasurer and external finance consultant.
- Practical, collaborative and proportionate approach, with the ability to help a small organisation prioritise what is most important.
Time commitment:
The assignment is capped at 15 hours in total and will be delivered remotely. The organisation would prefer the work to be spread over several weeks, allowing time for discussions, document sharing and feedback. There is no fixed weekly commitment, and the exact work plan can be agreed between the volunteer and the organisation.
